Common workplace problems-Do away with workplace problems

Communications plays an extremely important role in our life. We express our ideas, and emotions through communication, verbal and written. Quite often, we are misunderstood or misinterpreted by others. Similarly, on many occasions we are unsure, of how to interpret a question, reply or a statement made by another person. This is because of lack of clarity in communication.
Communication skills are arguable the most important tools of management. Your skills are put to test when you need to say something negative to the other person be it your boss, customer, colleague or direct report. How good are you at expressing your inability to accomplish a task to a customer with our projecting yourself and your company in bad light? Are you adept at expressing impossibility with out sending the wrong signals to your boss? Can you give a negative feedback to your direct report with out antagonizing him?
Words are central to every communication. Choose your words carefully. Positive phrases enhance the clarity in conversation and also help to build a good rapport with other person. The usage of negative expressions must be minimum as far as possible. You may be in the habit of using certain negative phrases without realizing the resentment they evoke in others. You should recognize the usage of negative communication at work and make a conscious effort to avoid the same to reap possible benefits. Here are some pointers:
While talking to your customers: Always adopt a positive tone. Focus on what can be done instead what cannot be done. When a customer asks for something not quite possible to oblige, the general tendency would be to simply say, "It cannot be done". Such statements are likely to disappoint and put off the customer. It would be better to say something like, it is going to be difficult, but this is what we can do instead." The rephrased sentence definitely has a positive impact on the customer. He recognizes you as a person willing to help him and may agree to accept your suggestion.
While speaking to your boss: You are already overburdened with your work and you boss assigns an additional project to you. If you say, "I cannot handle any more projects," you are sure to make your boss unhappy. Instead say, "I am excited about the new assignment but I am afraid work on my other projects may suffer if i accept this additional responsibility." He will appreciate your honesty and commitment. If he wants you to do the project he will be willing to alternative arrangements such as delegating some of your responsibility to others.
While talking to your direct reports: If you are not happy with the report prepared by your team member and scream at him, “Don’t ever come up with such useless reports in future." You may have conveyed your displeasure but are unlikely to find any significant improvement in his work because the negative tenor demoralizes him. On the other hand if you say, “I believe you can make a few changes and improve the quality of this report." It will undoubtedly have a positive effect on the employee and he will work extra hard to generate a better report.
By replacing negative phrases with positive ones, you project a positive image.
